Virtual Terminal
Offline Payments
Taking card payments using a virtual terminal is a convenient way for businesses to process transactions without needing a physical card reader. Virtual terminals are typically web-based applications that allow you to manually enter payment details and process transactions.
Using a virtual terminal to take card payments is a flexible solution for businesses that need to process transactions without a physical card reader. By choosing CardPayGO for your offline payments and following the steps outlined, you can efficiently and securely handle payments, enhancing your business’s capability to serve customers who prefer card payments.
Best Practices for Using a Virtual Terminal
- Security: Always ensure your internet connection is secure when accessing the virtual terminal. Use strong passwords and enable two-factor authentication (2FA) on your account.
- Compliance: Ensure that your use of the virtual terminal complies with PCI DSS standards to protect cardholder data.
- Verification: For higher-risk transactions, consider additional verification steps, such as contacting the customer directly or requiring further identification.
- Regular Audits: Periodically review your transaction records and settings to ensure everything is functioning correctly and securely.
Once your account is set up and approved, log in to the PSP’s dashboard and navigate to the virtual terminal feature.
Enter Payment Details
- In the virtual terminal interface, you’ll need to manually enter the customer’s payment details, including:
- Cardholder Name: The name as it appears on the card.
- Card Number: The 16-digit card number.
- Expiration Date: The card’s expiration month and year.
- CVV/CVC: The three or four-digit security code found on the back of the card.
- Billing Address: The customer’s billing address, including ZIP/postal code (some virtual terminals may require this for additional security).
- In the virtual terminal interface, you’ll need to manually enter the customer’s payment details, including:
- Input the amount to be charged and any additional information such as an invoice number or description of the goods/services.
- After processing, you’ll receive a confirmation indicating whether the transaction was approved or declined. If approved, a receipt can often be printed or emailed to the customer.
- Ensure you keep a record of the transaction for your bookkeeping and reconciliation purposes. Most virtual terminals provide a transaction history feature for easy tracking.
